How to Translate PDF and Word Documents Online

AI document translation has improved dramatically. Here's what works, what doesn't, and how to get the best results.

Translating a long document used to mean hours of work: copying text out of a PDF, pasting it into a translation tool paragraph by paragraph, then reassembling the output. AI document translation has made this a one-step process. Upload the file, select the target language, get the translation.

But not all document translation tools handle files the same way. Here's what to understand before you start.

Supported Document Formats

Different document types require different text extraction approaches:

  • PDF — Text-based PDFs (not scanned images) have their text extracted directly. The quality depends on how the PDF was created; professionally authored PDFs extract cleanly.
  • DOCX (Word) — Rich text with headings, bold, italic, tables, and lists. Text is extracted while preserving paragraph structure.
  • TXT — Plain text, the most straightforward to extract and translate.
  • Markdown — Plain text with lightweight markup. Headers (#), bold (**), links, and code blocks are preserved around the translated content.

How AI Document Translation Works

The process has three stages:

  1. Text extraction — The document is parsed to extract readable text, preserving paragraph boundaries and section structure.
  2. Chunked translation — Long documents are split into manageable chunks and translated in parallel, preserving context across chunk boundaries where possible.
  3. Output assembly — The translated chunks are reassembled in order, maintaining the paragraph and section structure of the original.

The chunking approach lets you translate documents of any length — a 50-page report is handled the same way as a 2-page memo, just with more chunks.

Getting the Best Results

Use Text-Based PDFs, Not Scanned Images

A scanned PDF is essentially an image of a document. Without OCR, the text can't be extracted — it's just pixels. If your PDF was created by scanning a physical document, you'll need to run it through OCR first (or use an image translation tool). If your PDF was exported from Word, InDesign, or any modern application, it should have extractable text.

A quick test: can you select and copy text in the PDF with your mouse? If yes, it has extractable text. If not, it's a scanned image.

Keep Paragraphs Intact

Translation quality improves when the model can see complete sentences and paragraphs. Documents with very fragmented text — like bullet lists of single words or tables with minimal context — will produce lower quality output than documents with full sentences.

Review Technical and Specialized Content

AI translation is excellent for general text but can make mistakes with highly technical or specialized content: medical terminology, legal language, industry-specific jargon. Always have a domain expert review technical document translations before using them in a professional context.

What You Can Do with the Translation

A good document translation tool should let you:

  • See the original and translated text side by side
  • Copy the translation to clipboard
  • Download as TXT, Markdown, DOCX, or PDF
  • Know which language was detected automatically

Translate Your Documents Online — Free

Glot's Document Translate supports PDF, DOCX, TXT, and Markdown. Upload your file, select the target language, and get a side-by-side view of the original and translated content. Download the result in multiple formats. Source language is auto-detected.

Pricing is based on the number of paragraphs, so short documents cost almost nothing. A 10-page report costs a few credits — less than a cent at standard rates.

Document translation used to be expensive and slow. With AI, you can translate a full report in under a minute, review the output alongside the original, and download in whatever format you need. It's not a replacement for professional translators on high-stakes documents, but for getting the gist of a foreign-language document or producing a first draft, it's the fastest option available.
